This page is meant to contain instructions/guidelines for what to do as you leave the lab. Please add more sections as needed.
Fly Stocks#
Please discuss your fly stocks with Rachel, to determine which stocks (if any) should be kept in the lab, and how to distribute them accordingly.
Slack#
Under our current slack plan (Pro), workspace administrators (Karen, Stephen, many others) can export a copy of all Public channels, but cannot for private channels, or DMs. If you would like a copy of the current history please ask, it may take a day or so for slack to finish exporting to a zipped filestructure full of .json files for each day of active messages within each channel. You can import this into another slack workspace you make yourself if you want to browse it more easily.
Since we do not currently have a plan that will allow export of your DMs as a workaround* for DMs you can go back through your DMs with current members and do a Ctrl+A Ctrl+C to copy the text contents to a google (or other) text doc. The top bit will include some mess that you can delete. For very long messages you may have to scroll up to the beginning of them for all of the contents to correctly copy.
For members currently not active you can get to their DMs by clicking the three vertical dots next to “Direct Messages” on the sidebar, and selecting “Browse DMs.” You should now be able to search for people who are no longer in the lab. Note that there are a few people have left and re-joined with different logins (e.g. Yvette and Isabelle), so to get to those DMs you’ll need to find the older account. This has been easiest for me by finding a group message and clicking on their names there, then clicking “Message” on their deactivated profile.
You can do the analogous thing for deactivated and private channels, by going to the “Browse Channels” page.
- I have only tested this with the desktop app on OSX but suspect it works the same with the web interface and in windows.
Retaining Access to HMS Resources#
If you need to retain access to HMS resources once you have left the lab, and you have not moved to another position at Harvard, you will need to apply for “Person of Interest” (also known as “Sponsored Role”) status. Rachel must do this on your behalf. You will need to supply her with the “Risk and Release” form and the “HMS Research Collaborator Person of Interest Intake Form” (not provided here to prevent you from inadvertently using an outdated form; Rachel should get new forms when she creates the request).
Once you have been granted POI status, you must create an HMS Guest Account. Again, Rachel must initiate the request on your behalf. Once the request is in the system, you will be contacted automatically about retaining access to resources.
