If you are initiating a Fedex shipment, please log in to our account at www.fedex.com (username WilsonRach, password F1ypokers; note that that the second character in this password is the numeral “1” and not the lowercase letter “L”). (Note that “4. Billing Details: your reference” should prepopulate with CC30620, which is correct, unless you use a preset address, in which case it may prepopulate to 008196 and then create an error; the solution is to change it to CC30620.) You should enter your shipping data and print the airbill to affix to the envelope, pak (bag), or box. You can find shipping materials near the catalogs / software documentation shelf.

If you are arranging for somebody else to send us something and we are paying for it (e.g., a vial of flies from another lab), then you should use the website to prepare a “return shipment to” air bill and email it to the sender. Alternatively, if you have to send the return way bill to the other party, you might make a shipment, and click the box “Create Return Shipment” under section “3. Package and Shipment Details”. (Note: we no longer have a Fedex account #, so you can’t just give somebody the #.)

Note that the website will not allow you to enter a weight less than 1 lb. Paks and boxes will default to the 1 lb rate if their actual weight is less than 1 lb. If shipping a Fedex Envelope, HHMI will actually receive the Fedex Envelope rate even though fedex.com defaults to 1 lb.

International shipments only: The customs value also cannot be less than 1 lb (for each item). So if you are shipping 5 vials internationally, each should be valued at $1, for a total shipment value of $5. The item should be declared as “sample”, with a description: “vials of Drosophila for research”. If you don’t ask the website to calculate the tax, it won’t ask you to enter a Harmonize Code (so don’t). Do check the box that allows you to print a “Pro Forma Invoice”. Print all the sheets of paper (generally 6) single-sided and place them in the baggie.

IMPORTANT: If you are shipping a valuable item (e.g., if you are returning an amplifier or other item of equipment to the manufacturer to be repaired) be sure to enter the list price of the item in the DECLARED VALUE field. This is the amount that Fedex will pay us if they lose the item in transit. If you don’t enter anything in this field, they will not pay us anything. This does not matter very much for inexpensive items (<$100) because loss is unusual, but for something valuable, it’s important.

Outgoing Fedex shipments should be dropped in the Fedex deposit box in the back entrance to Warren Alpert (the entrance adjacent to the Dental School).
