You can use the P-card if
- you intend to charge NIH funds or grants/fellowships administered by the Neurobio finance office (i.e., which have a 33-digit billing number)
- your order total is $500 or less
- your order is not from an HCOM Marketplace Vendor (HCOM Marketplace Vendors applicable to us would be Thorlabs, VWR, Invitrogen, Sigma-Aldrich, McMaster-Carr, Digi-Key, Newark, Biorad, Thermofisher, Qiagen, Grainger, W.B. Mason, MSC Industrial Supply, or Creative Office Pavilion)
To use the Harvard P-card,
- Place the order yourself, by phone or online.
- Immediately get a receipt. If you’re ordering by phone, ask the vendor to send you an emailed receipt. Turn the receipt into a PDF.
- Send the receipt to Rachel’s administrative assistant, and indicate which grant should be charged.
- The PCard needs to be reconciled in the Concur system, and that can’t happen unless there’s a receipt. If it isn’t reconciled in the Concur system, the card isn’t paid off, and late charges accrue; late charges are paid by Rachel’s start-up funds.
