Once WellGenetics has generated a quote, please send it to Karen Harmin, who will pay for it using HHMI funds. Note that WellGenetics services are quite difficult to pay for using Harvard (NIH) funds. WellGenetics will want half the price paid up front, with the other half paid later. A discount may be applied to the last payment, which makes the payment more complicated to process.
Basics#
The payment is split into two parts:
(1) first payment: WellGenetics needs this to initiate the project (very important!)
(2) second payment: You pay the rest at the end once you successfully receive your flies.
The most important thing is that a single PO# is used for both payments, and that HHMI places the order (instead of us placing the order and asking HHMI to pay for it). Note that the second payment is slighly cheaper than the first since discount will be applied to the second payment.
Procedure#
(1) We receive a quote from WellGenetics.
(2) Go to HHMI Ariba P2P and upload the quote. Make sure to add two items, one for the first payment and the other for the second payment.
(3) HHMI will contact you and will ask you to fill the import form (since it’s from Taiwan). I’ve attached an example for your reference.
(4) After HHMI approves, they will place the order by directly communicating with WellGenetics.
(5) You will receive an invoice from WellGenetics with the correct PO# on it. Upload this PDF to the HHMI Ariba P2P site.
(6) Once the project ends, you’ll receive the information on second payment from WellGenetics. Upload this PDF to the P2P site.
